Make it easy for employees to manage their time and get the information they need, when they want.
To process payroll, first click on Time & Attendance from the main menu. NOTE: Time & Attendance is an optional feature and not required to enter payroll.

Then choose the Payroll tab.
Back
Select the current check date.
And then click the Submit button.
Once it's confirmed, click Dashboard from the main menu.
Next, click Begin to start the Current Payroll.
Our salaried employees are set to automatically be paid standard hours, so we'll simply click Continue.
From our customized Payroll Grid, we see the hours and amounts that came over from Time & Attendance, but we can make any necessary changes.
Let's enter an expense reimbursement for this employee, Andrea, for $74.32 then click to advance.
We can preview Andrea’s check by clicking on to the drop-down menu next to her name, and clicking Check Preview.
Her gross-to-net calculation is conveniently displayed for review. Clicking the X in the top-right corner brings us back to the Payroll Entry grid.

To start, simply click the Submit Payroll button.
A new button displays, which confirms your payroll submission, and the Go to Dashboard option lets you proceed with other tasks.
You'll be notified when payroll has processed, and can review any desired post-processing reports.

After signing in to Paychex Flex® you'll see your employee dashboard. Hover over View Details to view the amount associated with that date and click to view more.
In Pay Summary, each subcategory has its own toggle. This will give you more information about Gross Earnings, Withholdings, Deductions and Net Pay. Click Gross Earnings to see a breakdown.

Ready to review your pre-processing reports? Click on Review & Submit.
Reports and Quick Totals are available for review. From the View All drop-down arrow you can choose an action to take. Select Run All.
Click to open Payroll Journal and perform any necessary double-checks.
The Payroll Journal report is in PDF format. Everything is looking good here, so you can proceed.
You can also review your Cash Requirements report.
Another convenient PDF report at your fingertips. Again, nothing stands out as an issue. You can keep moving forward.
A list of Total individuals unpaid helps you ensure necessary payments aren’t missed. Click Total individuals unpaid to see who is still waiting.
The listed employees were absent this week, so this payroll can be submitted for processing.

Let's review the labor cost for the Rochester location. Click Add Filter.
Then choose the dimension from a drop-down menu. Select Location from the list.
Next, choose from a list of Locations. We'll select Rochester then click Apply.
Then click Save.
Easily export the details to Excel by using the download button ( ).
Click to scroll to the next section.
Click the download button ( ).
Select XLSX type.

Let's review a live and interactive Payroll Labor Cost report. You'll be able to set up a shortcut on the dashboard, where you'll just click View Report.
Next, choose a custom template that's been shared by another company administrator. In this case, click on Custom Labor Cost.
With charts for overtime and regular hours and amounts, you can review total labor cost. Just click the right navigation arrow.
Want to group the data by location instead of position? Just click the ellipsis ( ) for more options.
The Top positions button lets you review other grouping options.
Here we'll choose Top locations.
The report is immediately updated with the new groupings.

Further customize the report to include Sick amounts with the Columns button.
Click Add Columns.
Let's filter the columns list to only show those related to sick time. Click Apply to confirm these selections.
You can rearrange columns and aggregate your data. Within Sick hours, click on None. Then select Total.
Click the X and return to your report.
Now we see the new column has been added named Sick amounts. Click Next to scroll up and save your changes.
Click Template to save your changes.
Click Save to keep your changes for next time.

And we can enter a personalized note to Valarie.
Click Save to continue.
Click the X in the corner to return to the Time & Attendance tasks window.

Here it looks like Valarie forgot to clock out one day last week. Click on Fix to take a closer look.
After confirming with Valarie what time she should have punched, we'll click Change Labor Level to indicate her activity. NOTE: Choosing an employee's department or job is an optional feature.
Click the drop-down menu for Job Costing.
Then choose the desired activity from the list. In this case we will choose Presentations.
Click the Save button to finalize the timecard change.
The change was successful!

Click on the Company Directory from the main menu.
Here, you can go to Add to hire a new employee. We'll choose the W-2 employee type.
Click to scroll down to add her email address.
Enter the new employee’s name and birthdate.
Then click Continue.
You'll be prompted to enter the required Employment data. Required fields depend on customer configuration, but in this example, we'll have to select Victoria’s hire date
Select the 13th as Victoria's hire date.
And choose the desired Organization.
From the customized drop-down list, select 10 Sales.
Finally, we'll confirm the unemployment insurance state. You can Save & Finish Later or Save & Continue to move on to Onboarding Tasks. For now let’s select Save & Finish Later.
This message is displayed after choosing Save & Finish Later.

From the People drawer, we see Victoria as an In Progress worker. Let’s take a look at her onboarding Tasks. Click View Tasks within the onboarding area.
Here we see tasks for Personal Information and Emergency Contacts are already pending. We can easily add other tasks for Victoria to complete as part of her onboarding. To do this we'll click Edit tasks.
Then we'll select additional tasks for Victoria to complete. We'll include Federal Taxes, Direct Deposit, and Voluntary Self-Identification for EEO-1 and California Pay Data reporting purposes.
Click Save to commit the changes to Victoria's onboarding task list.
Once Victoria completes these tasks, we can see the progress. Click the X to return to the dashboard.

After signing in to Paychex Flex® you'll see your employee dashboard. To start a shift, click the Clock In ( ) button.
Select your current activity from the options listed under the Job Costing drop-down menu.
For example, if you're headed into an internal meeting, choose the Meetings option.
Having an employee choose their current department or job is an optional feature. Upon making a selection, click Clock In to finalize your punch.

After signing in to Paychex Flex® you'll see your employee dashboard. From the dashboard, you can click View All from the Time Off tile.
You can review your accrued, used, and available balances for any eligible time off (e.g. Vacation and Sick). Click the Time Off button to start your request.
First, you'll Select a type of time off (e.g. Vacation or Sick).
In this example, we'll select Vacation from the drop-down menu.
Next, choose your dates:
We'll choose August 22nd to start a vacation.

Then, select a date to end your vacation. We'll select August 26th.
You can also insert an optional note about your request. Click the Note field to insert note about your upcoming family vacation.

Then click the Submit button at the top of the screen.
The request is submitted to your manager for approval. Just click Time Off and you'll be returned to your summary of balances.
Now we'll choose the Requests tab to see the status of recent time off requests. There you'll see the pending vacation request. Once it's approved, the status will update accordingly. Click the X to return to the dashboard.

Need to review a pending rate increase for an employee by their manager? Just click View All from the Tasks tile.
There is one pending approval, so we'll click on it to proceed.
Click on the pending request.
Then click Approve.
You can add a note if desired. We'll add a note...
… and then receive confirmation of the approval. Click the X in the upper-right corner to close the window and return to Approvals and Tasks.

Let's submit an annual pay increase for Valarie. We'll click on Company Directory from the main menu.
Next, click on Valarie’s name to review her employment snapshot.
Click on View pay to proceed.
Click the Edit button to submit a change request.
Then enter the new per-pay-period salary.
Nice! Valerie will be excited to see the change in her next paycheck. Click Save to proceed.
You can add a note for the approvers.
...and click Save to continue.
Once the request is sent, we'll return to Valarie’s employment snapshot. Click the X to close out of the Pay area and return to Valerie’s Company Directory details screen.
